Privacy notice
Sigma RTT is operated by Acumentice Ltd, a company registered in England and Wales (company number 09230855), whose registered office is at Office 185, 60 Tottenham Court Road, Fitzrovia, London W1T 2EW (“we”, “us”). Acumentice Ltd is the data controller for the personal data described below. This notice explains what we store when you use the free companion, why, and the rights you have.
What we store
- Your questions and the answers given — to operate the service, monitor answer quality and improve the knowledge base.
- Your email address, if you provide it to continue past the free questions or to download a document — to operate your access. We only send marketing if you ticked the optional consent box, and every marketing email includes an unsubscribe link.
- A random visitor identifier (stored in a cookie) and a pseudonymised network identifier (a salted hash of your IP address) — to enforce fair-use limits and prevent abuse. We do not store your raw IP address.
- Feedback (👍/👎) you give on answers — to find and fix weak answers.
- Documents you generate (e.g. SOP or policy drafts) — stored so you can download them.
Legal basis
We rely on our legitimate interests (UK GDPR Article 6(1)(f)) to run, secure and improve a free professional tool — covering your questions, answers, feedback, the visitor identifier and the IP hash. Where you provide an email to unlock further use, we process it to perform that service. Marketing emails are sent only with your consent, which you can withdraw at any time.
How long we keep it
We keep questions, answers and feedback for as long as needed to operate and improve the service, and may retain them in aggregated or de-identified form for analysis. We keep your email until you ask us to delete it or withdraw consent. You can ask us to delete your data at any time (see Your rights).
Cookies
We set a single first-party cookie holding a random visitor identifier so we can apply fair-use limits. It is not used for advertising and is not shared. We do not use third-party tracking or analytics cookies.
What we don't do
- No advertising, no selling of data, no third-party tracking cookies.
- Please do not enter patient-identifiable information in your questions — the tool is for rules and guidance, not patient records.
Processors & international transfers
We use a small number of trusted providers to run the service: questions are processed by Anthropic (Claude) to generate answers; data is hosted with Vercel and Supabase; and emails are sent via Resend. Some of these providers may process data outside the UK; where they do, the transfer is covered by appropriate safeguards (such as the UK International Data Transfer Agreement or equivalent). We do not use your questions to train third-party AI models.
Your rights
You have the right to access, correct, delete, restrict or object to our processing of your personal data, and to data portability. To exercise any of these — including deleting your email and question history — contact info@acumentice.com. You can withdraw marketing consent at any time via the unsubscribe link or the same address. If you are unhappy with how we handle your data, you can complain to the UK Information Commissioner's Office (ICO).
Changes
We may update this notice from time to time. Material changes will be reflected here with a new “last updated” date.
